Title: Part-time Sales Reception / Administrative Support

Report to: Sales Reception Supervisor

 

Summary of Position:

The Part-time Sales Receptionist / Administrative Support is responsible for being the first impression and contact to clients, staff and suppliers. By being the face and voice of Brian Jessel BMW the Part-time Sales  Receptionist / Administrative Support person must present a professional image by making a priority of answering incoming calls, appropriately and efficiently directing callers, greeting clients and suppliers all the while multi-tasking and remaining pleasant and courteous. This position will also provide general administrative support to all staff that requires assistance in this manner.

 

Job Description:

  • Availability: able to cover  both Saturday shifts (9am to 6pm), as well as Sunday and Staf holidays shifts (12pm - 5pm); also available for 1 or 2 weekday evening shifts (4pm - 8pm).
  • Greeting all clients and directing them to the appropriate person or department
  • Answering switchboard and directing all calls to the appropriate department, person or voice mail
  • Provides general administrative support, including faxing, photocopying, mail distribution and data entry
  • Maintain office equipment
  • Receiving and sending couriers
  • Maintaining the cleanliness of the showroom, customer lounge, and reception areas 
  • Coffee machine cleaning and replenishing
  • Administering Service pick-ups
  • Using MS Office to create spreadsheets, transcribe correspondence, memos, short reports and other documents as requested.
  • Other duties as assigned

 

Job Specification

  • Post-secondary administrative training or equivalent practical experience
  • Minimum 2 years of professional work experience involving customer service or adminstration preferred
  • Advanced knowledge of MS Word and Outlook, although more extensive computer knowledge is an asset
  • High level of customer service skills
  • Ability to work with all levels of management and staff
  • Ability to work independently
  • Detail-oriented and possesses strong organizational skills
  • A team player capable of interacting professionally with both staff, distributors and customers
  • Adaptability and flexibility to deal with last minute changes to ensure highest level of service for staff and clients
  • Ability to work to achieve onerous deadlines with constant change requests from staff or clients
  • Strong time management skills

 

Work Environment

  • Weekends (Saturday: 9am-6pm and Sunday: 12-5pm)
  • We are looking for candidates who are flexible to take on more shifts during the day when required
