People & Practices Administrator

Reporting to the Senior Manager, People & Practices, the People & Practices Administrator is responsible for carrying out a variety of HR-related activities. He/she will assist the team providing support in the areas of recruitment and selection, information management, employee programs and administration. The People & Practices Administrator is highly organized, energetic and passionate.

Key Responsibilities

  • Provides administrative support in the People & Practices Department including but not limited to: organizing employee files, filing confidential documents and creating and updating spreadsheets
  • Creates all new employee files as per departmental standards
  • Provides administrative support for the recruitment process including: Creating new recruitment files and including required documentation; posting open positions on our corporate website and LinkedIn; recruitment tracking using JobVite; closing completed files as required; printing resumes, setting up telephone pre-screens and coordinating interviews for a variety of roles
  • Creates new hire packages for new hires; meets with new employees on their first day (assists with paperwork and provides an office tour)
  • Tracks all contract workers on a monthly basis
  • Coordinates all employee photos on a weekly basis
  • Prepares employee offer letters using departmental templates
  • Creates confirmation of employment letters for employees upon request
  • Completes new hire, changes and termination paperwork and works closely with Payroll Services
  • Sets up exit interviews and other ad hoc employee meetings
  • Sets up Purchase Order’s for HR invoices and tracks all invoices
  • Tracks departmental People Measures on a monthly basis
  • Manages People & Practices Information - takes minutes at weekly meetings; manages internal calendar;
  • Coordinates employee perks programs
  • Updates and maintains company organizational charts
  • Back up reception coverage
  • Assists with special projects and ad hoc assignments as required

Skills and Experience

  • Post secondary education ideally in the area of Human Resources; CHRP designation in progress
  • 1-3 years experience in Human Resources in a similar role (Co-op experience considered)
  • Highly organized and detail oriented
  • High level of professionalism, self-awareness and emotional intelligence
  • Ability to exercise discretion and a high level of respect for confidential information
  • Team player with a strong work ethic and the ability to easily shift directions
