Office Manager, TORONTO OFFICE

Reporting to the Senior Manager, People & Practices, the incumbent is responsible for day-to-day facilities management, administrative support for the Senior Management Team and working with People & Practices to continue to build a one of a kind work environment for TMS employees. This role requires an enthusiastic, dynamic, knowledgeable and motivated individual to become an integral part of continuing to foster and promote our strong and unique corporate culture.

Duties and Responsibilities

  • Manages and monitors the day-to-day activities within the 30,000’ sq. facility with support from the facilities coordinator
  • Responsible to manage and lead annual employee celebrations including summer party, holiday party and various events throughout the year
  • Ensures that all internal events and respective committees are managed efficiently and within budget
  • Manages workflow and information for assigned Senior Management Team (SMT) members including scheduling meetings & managing calendars
  • Coordinates all travel activity and manages all travel related costs/budget for assigned SMT.
  • Manages and mentors Facilities Coordinator including responsibility for annual performance review
  • Maintains financial documents including expense forms and credit card reconciliations
  • Oversees planning, budget, set up and cleanup for Friday lunches
  • Working with the facilities coordinator to monitor and maintain office supplies inventory
  • Key member of Cultural Attaché committee assisting with employee focused events and fostering a strong culture within in the office
  • Responsible for all office decorating, layout, furniture for the office
  • Responsible for cleanliness, maintenance and regular upkeep of office
  • Responsible for liaising with building landlord when required
  • Acts as Co-Chair for Joint Health and Safety Committee
  • Monitors and tracks vacation and sick leave for employees reporting to SMT members
  • Works with facilities coordinate to ensure new employees are set up in a timely and efficient manner
  • Coordinating with Head of IT on cell phones and IT equipment for office
  • Liaises and coordinates with inter-company colleagues, suppliers, vendors
  • Maintains offsite data records storage (including archive files)
  • Acts as backup to Executive Assistant to provide support to senior management team
  • Covers reception as required
  • Assists with adhoc HR projects
  • Participates in ad hoc special projects as required, and other tasks as assigned

Required Skills and Competencies

  • Post-secondary education in a relevant field or equivalent experience
  • 5 + years experience working in the area of office services and administration, ideally in the marketing and communications field
  • 1-2 years experience working in a management or leadership capacity
  • Strong interpersonal skills
  • Passionate about supporting a strong employee culture
  • Experience planning corporate events is an asset
  • Highly organized with an ability to work under tight deadlines and shifting priorities in a fast-paced environment
  • Strong customer service skills with the ability to work with all levels of the organization
  • Excellent oral and written communication skills
  • Highly professional and presentable with a strong business acumen
  • Strong attention to detail
  • Superior MS Office knowledge - Word, Excel, PowerPoint and Outlook
