The University Division of WorldStrides (WorldStrides Capstone programs) is the nation’s leading provider of educational travel for Executive MBA, MBA and Undergraduate Business programs. As part of its continued growth, the division seeks a Business Meeting Planner  (BMP) to work with the Global Meetings Practice team to provide customized business meeting solutions for international study programs for university students. Description:

The Global Meetings Practice consists of 1 Team Leader, 1 Coordinator and multiple Business Meeting Planners, who are responsible for sourcing and scheduling high level, substantive business meetings for international study programs for university students at the undergraduate and graduate levels.  The Global Meetings Practice is part of the fastest growing division within the company. Our work is exciting and challenging and this position will provide the incumbent with an opportunity to take on new and exciting projects and challenges as the division grows and evolves.

A successful BMP is highly organized, self-motivated and proactive, extremely efficient with time, detail-oriented, and an excellent communicator.  The BMP must be willing to reach out to high-level business executives and managers across the world to arrange exceptional business meetings that are properly aligned with the academic content students are learning in the classroom.  A successful BMP works to develop an international network of contacts at businesses across all industries, government agencies and U.S. embassies, and NGOs. This means adjusting your schedule to deal with countries in different time zones during their typical business hours.    

The BMP will be responsible for sourcing and identifying new contacts in specified regions. In addition, the BMP is expected to:

  • Gather information on global markets
  • Research and understand emerging trends in these markets,
  • Ensure client expectations and deadlines are met
  • Build professional business meeting agendas for clients
  • Prepare for and lead client calls and meetings
  • Have the ability to work effectively with other members of the university team regarding important on-trip details.

Additional duties include updating, organizing and overseeing aspects of the internal database system, representing the Global Meetings Practice at meetings and conferences, organizing current business meeting contacts, writing thank-you notes and following up contact with speakers, and other duties as assigned by the Director. 

Please note we have a dedicated Account Manager for each program that serves as the primary relationship point for our university customers.  The Account Manager is responsible for managing all transportation and logistics aspects of the educational program.  The BMP is not responsible for booking conference room space at hotels or arranging microphones and AV equipment for meetings.  The Account Manager and the BMP work closely together to ensure all meeting logistics and requirements are set-up to meet and exceed our customers’ expectations.

The position may require extended and unconventional work hours during the busy season (late Fall through May) and will require some travel.

Qualifications:

The ideal candidate possesses:

  • A Bachelor’s degree
  • 4+ years of work experience in business or business-related field
  • Confidence in leading phone calls with faculty leaders and program administrators to understand the academic focus of the program and helping plan successful meetings that complement the academic content taught in the classroom (theme-based educational programs)
  • Self-motivation and the ability to adapt to a fast paced, dynamic work environment
  • Strong communication skills – must be able to work effectively and efficiently across multiple teams to ensure customer satisfaction
  • Proactive, strong attention to detail, time management and organizational skills
  • A general curiosity and desire to learn about international travel locations and trends in global education, specifically economic and business trends
  • Ability to work on and complete multiple projects at a given time
  • A strong comfort level in conversing with and contacting international businesses
  • Meeting and event planning experience
  • Ability to plan relevant business meetings (scheduling & arrange key details such as the speaker, date, time and ensure that the presentation is properly aligned with the faculty’s expectations) for Capstone programs
  • Ability to research and find creative solutions using internet and social media
  • Willingness to take on a dynamic role that will grow and evolve
  • Ability to maintain a positive, solutions-oriented attitude
  • Excellent verbal and written skills; clear and professional telephone demeanor
  • Strong customer service skills
  • Basic computer proficiency and understanding of Microsoft Excel and Word
  • Working knowledge of other Microsoft Office products
  • International travel and experiences a plus
