This position will perform a broad range of administrative duties for the Americas Management Team located in New York and Chicago including Head of Americas Region, Chief of Staff, Chicago Branch manager, New York Branch manager and business analysts.    Significant time will be spent on organizing meetings including preparing presentations, taking minutes, follow-up on action items and reporting.  In addition, the position includes special projects and complex assignments which require judgment, initiative and tact. Makes administrative decisions and takes action on behalf of the Americas Management Team based upon knowledge of the company policies and procedures.  

Responsibilities associated with the Head of Americas Region and Chief of Staff

  • Manage calendars including organizing meetings, accepting meetings and managing conflicts
  • Arrange travel and follow-up
  • Prepare and review expense reports
  • Manage incoming and outgoing telephone calls (teleconferencing, transfers, screening, etc.)
  • Ensure distribution of email and mail
  • Coordinate with IT department to optimize access to electronics (i.e. laptop, cell phone, fax, PC, etc.)

Responsibilities associated with the Americas Management Team

  • Organization of meetings including agendas, presentations, minutes, follow-up and reporting
  • Track and update dashboards / spreadsheet with key performance metrics
  • Document and update procedures
  • Draft/type correspondence
  • Organize/monitor filing system

General Administrative Responsibilities

  • Greet and escort clients, prospective employees and other visitors as needed
  • Interface with other departments.
  • Assist visiting executives as needed

Qualifications:

  • Good understanding of financial services environment.
  • Excellent knowledge of office and business procedures
  • Must be able to -

  • A very strong ability with a wide variety of PC applications (Lotus Notes, MS Word, Excel, PowerPoint)
  • 3+ years experience in a support role.
  • Experience in financial services helpful.
  • Bachelor degree is desired.
  • Other language skills a plus.
