Description

 

We are currently seeking an experienced individual to provide support in the areas of Accounts Receivable, Accounts Payable, Payroll, Billing, Personnel matters and special projects. This position will be located at the corporate headquarters in Pasadena, CA.

Duties:

·         Provide accounting and administrative support to supervisor including maintaining department calendars, deadlines and deliverables

·         Responsible for the accurate and timely performance of all payroll functions, reporting and HR related tasks

·         Verify and maintain routine policies and procedures

·         Monitor, analyze and update web-based time and resource management program

·         Prepare financial and accounting reports and analyses as requested

·         Prepare credit card reconciliation

·         Provide support to Supervisor in the areas of Benefits Administration and New Employee Orientations

·         Administration of all discretionary benefit plans

·         Responsible for effectively  maintaining, updating and reporting human resource information per company policies and procedures

·         Assist with property inventory

·         Establish and maintain professional working relationships within the organization

·         Coordinate internal project meetings and events

·         Keep management personnel appropriately informed of department activities as well as assisting with questions and problems courteously and    promptly

·         Provide support on special projects as needed

·         Meet all critical deadlines as necessary

 

Qualifications:

Required Qualifications:

·         5+ years administrative/office management experience with strong attention to detail and sense of urgency to complete necessary tasks with crucial deadlines

·         Excellent customer service attitude and the ability to assist and support others

·         Experience providing budget, administrative and other technical support in the analysis, evaluation, implementation, and support of projects

·         4-5+ years’ experience working with Finance, Accounting and HR processes

·         Strong knowledge of the budgetary and accounting process including A/R, AP, Billing, Payroll and Reporting

·         Strong communications skills both oral and written with the ability to handle sensitive and confidential information with poise and common sense

·         Strong organization skills and attention to detail

·         Must be tactful and diplomatic and possess the ability to communicate with individuals at all levels of an organization

·         Strong ability to multitask and effectively deal with changing priorities

·         Proficient in MS Office Suite

·         Experience with QuickBooks and either Paychex or ADP

Desired Qualifications:

·         Prior HR Generalist experience is desirable

·         Willingness to learn new skills

·         College Degree in Business or Accounting is desirable

·         Experience with cost recovery and/or billing verification is desirable

·         Experience using and maintaining web-based automated information systems
