Responsibilities

Prepare and manage contracts and invoices as it relates to program services at the 1199SEIU Training and Employment Funds; provide financial reports for Trustees, Grant Funding agencies, and materials for audits

Prepare financial analysis, financial statements, conduct reconciliation and data reporting; adhere to grant funding requirements and prepare data for Trustee presentations

Ensure expenses are reflected correctly in database systems (Oracle, Star), make corrections for expense accounts, provide budgets and spending reports to Manager, Director and staff

Assist Manager in preparing materials for auditors, communicate and follow up with institutions on missing funding source documents, and resolve audit issues; ensure audit information and resolution to audit findings are completed in a timely manner

Work with program staff, Accounting/Finance, and Legal Operations to prepare contracts, addendums, and budget modifications; ensure contracts are prepare in a timely manner

Review and process check requests and vendor payments; troubleshoot problems with vendors, institutions and ensure invoices are accurate and payments are made on time

Assist Program staff with contracting and invoicing issues, coordinate vendor payments with Accounting/Accounts Payable

Ensure grant activities are tracked accurately; enter budget information for all grants in system (STAR), process budget re-allocations and work with Accounting Department to make changes in Financial System (Oracle).

Perform additional duties and projects as assigned by management
Qualifications

Associate’s Degree in Business, Finance, Accounting, Computer Information Systems, or equivalent years of experience required, Bachelor’s preferred; plus

Minimum two (2) years experience extracting data, creating and analyzing reports using database applications (i.e. Excel, Access) required; grants and contracts experience preferred

Intermediate skill level in Microsoft Excel and basic skill level in Access preferred; ability to interact with multiple financial system environments (Oracle, Star)

Knowledge of database applications and report writing

Knowledge of basic accounting principles and ability to analyze financial information required

Detail oriented with strong administrative, analytical and multitasking skills

Able to prioritize, meet deadlines, plan and coordinate work in a time sensitive environment

Strong written and interpersonal skills; ability to maintain confidentiality of information

Available to work flexible hours including evenings and weekends as needed
-
Must meet performance standards including attendance and punctuality
